We take your privacy seriously. In this Privacy Policy we’ve provided lots of information on when and why we collect your personal information, how we use it, the limited conditions under which we may disclose it to others and how we keep it secure.

Who We Are
LD Learning Support aims to make education accessible for all, allowing each and every student to have their potential unlocked, to discover all that is within them, particularly those individuals with specific learning difficulties. I do this through completing diagnostic assessments, access arrangement assessments, conducting informal assessments, tutoring, running staff and parent sessions and hosting family activity days.
The Types of Data We Collect
Client/Learner Information
When you as a parent, or the client or learner contacts us, in order to provide specialist support or an assessment we will need to collect a range of information to enable us to fulfil our service provision.
We will need to collect the following information:
Personal identifiers and biographical information: e.g. date of birth
Contact details: e.g. home address, email address and telephone number
Sensitive personal data: e.g. details of why an individual seeks an assessment, details of a disability or specific learning difficulty, details of support a client/learner may have had in the past, details of birth history, family history, developmental milestones, strengths and weaknesses, medical history, assessment data, and notes written during and after support or assessment sessions or after other contact with client/learner
History of Support: e.g. dates of meetings held with a client/learner and a record of each meeting
Family Details: e.g. details of other family members with whom a client/learner or a client/learner’s school/college/workplace have given me consent to liaise
Why we collect this information
We collect this information so that we can compile a comprehensive background history in order to plan and provide the best assessment and specialist support that the client/learner has requested.
We also collect your information, with your express permission, in order to keep you informed of upcoming events.
How we collect this data
We collect this data through questionnaires and interviews with the client and/or learner and/or stakeholders, as appropriate and as discussed and agreed with the client.
It is important to note that the ‘Contact Box’ and emails may not be 100% secure and thus, if you have any concerns about this, please send any sensitive information in a password encrypted document, attached to the email, rather than in the content of the email.
How we store this data
Physical copies of your information as noted above will be stored in a secure location e.g. in a locked filing cabinet. Electronic copies of your information will be stored in password protected files.
How long do we store this data for?
We will keep your contact details, only for as long as you are a client/learner with us. Once our support has come to an end we will remove this data from our system. This is unless you have specifically given permission for us to keep your details on file to inform you of upcoming events.
We will keep reports and assessment and session notes for 6 years, once the support ends or once a child reaches 18. This is in line with PATOSS guidelines, based on the legal amount of time in which we can keep data.
We will keep physical copies of the assessment papers for 12 months.
How is data disposed of?
Any physical data will be shredded.
Any electronic data will be permanently deleted from any device/cloud on which it is stored.
Who might we share this information with?
This information will not be shared with any third parties, unless, express prior written permission is given by the client/learner or there is a child protection issue which is raised. When express written permission is given documents will then be shared in an agreed manner, where consent has been given.
On occasion it may be that an anonymised report may be required for registration with Dyslexia Scotland or for an audit by PATOSS. This data may also be shared with SASC. If this is to occur, then express written permission will be sought by the client/learner and the report will be anonymised (e.g. no identifiable information will be in the report). The report will then be sent as an password encrypted document, with the password being sent separately. How will we share this information?
If we need to send data electronically then it will be sent as a password encrypted document, with the password being sent separately.
If we need to send documents via the postal system then we will send it in an envelope marked ‘Private and Confidential’.
If we are meeting with a client, learner or stakeholder face to face, then we will take the minimum amount of data required and will transport this securely e.g. in a locked case.
N.B: As noted above express permission will be sought before this information is shared with any third parties.
Access to your personal information
You are entitled to view, amend, or delete the personal information that we hold. Email your request to ldassessments@gmail.com
Note: Requests from clients/earners to review, edit, amend or delete data relating to an individual will be considered on a case by case basis but we may be unable to remove all assessment records and support notes for legal reasons.
Changes to this Privacy Notice
This policy was reviewed in August 2021. It will be reviewed again by August 2022.
